Director’s Assistant Responsibilities

  1. Retrieve score sheets from each court after games are completed.
    1. Ensure game scores are correctly listed for each team after the game.
    2. Enter scores in Exposure correctly within 15 minutes of the end of the game.
  2. Assist in any situations that arise if the director is occupied with another task or situation.
    1. Always listen to both sides of the story and de-escalate the situation.
    2. Situations may include parents, players, coaches, referees, and workers.
    3. Involve security or police if it is necessary.
  3. Ensure wristbands are on all spectators. If they are not, walk them back to the admissions table to have them pay.
    1. If any spectator tries to enter without you seeing their wristband, you must call them out and ask them to show it.
    2. If any spectator tries to enter wearing the incorrect color wristband, you must call them out.
    3. The only people who can enter without wearing a wristband are players, officials, event staff, and Prep Network staff.
    4. Checking for other entrances or doors being propped open, where spectators could be getting in without paying.
    5. Assisting with on-court/field disputes.
  4. Assisting the Event Director with event setup and teardown.
    1. Communicating with the Event Director on when to arrive at the facility.
    2. Setting up and taking down A-frames, backdrops, table wraps, and signage around the venue.
    3. Connecting with the venue contact for any information you may need (printer, signage, etc).
    4. Assist the director at the end of the day with cleaning up courts, front of house, and any other areas where spectators and players had access.
      1. Keep things neat, clean, and respectful for the venue.
      2. At the end of the tournament, take a final walkthrough of the venue to make sure everything is collected and nothing is left behind.
  5. Monitoring that staff is present on all courts and at admissions at all times.
    1. As events start, there should always be 3-4 admissions workers at the front of house as well as 1 team check-in worker.
    2. There should always be at least one admissions worker at the front of house taking admissions.
    3. If there are gaps, step in to fill them and work with the event director to fill the positions.
